Privacy notice for the registration app
This notice explains what this registration app stores about you and why. It supplements the studio's full privacy policy at shoonyadance.com/privacy-policy, which applies to everything Shoonya Dance Centre does. If the two differ, the full policy prevails.
What we store
- Your Shoonya ID profile: name, email address, phone number, date of birth, gender, postal address, emergency contact, preferred language, and whether you asked for insurance.
- Your registrations: which weekly classes, workshops, events, performances or retreats you signed up for, the price and discounts applied, a dance partner or roommate you named, your comments, and, when you use them, your UiTPAS number or student-status proof and invoicing details (company name, VAT number).
- Payment records: the amount, date and a Stripe reference for each payment. Card details never reach us; they are entered on Stripe's own payment page.
- Account security: a hashed password and short-lived one-time codes used to sign in or change your email. We never store your password in readable form.
Why we store it
To run the class you registered for (rosters for teachers, capacity, partner matching), to collect payment and issue the confirmation, tickets or invoice you are entitled to, to apply the discount you qualify for, to contact you about the class itself, and to meet the record-keeping duties that apply to a Belgian organisation's financial records.
Who else sees it
- Teachers see the names and Shoonya IDs of students in their own classes only.
- Stripe processes payments. Supabase hosts the database in the European Union. Confirmation and code emails are sent through Google's mail service.
- We do not sell or share your data for advertising.
Reduced rates and your ID
If you ask for the student rate or the UiTPAS rate, you upload a document that proves it. Right after payment that document is read once by an automated service (a vision model run by Anthropic) that returns only the fields we compare: document type, name, date of birth, expiry date and card number. We store the date of birth it read and a one-line result; the image itself stays in our storage with your registration and is not used for anything else. A mismatch is looked at by a person before anything happens.
How long
Registration and payment records are kept for as long as Belgian accounting and tax rules require financial records to be retained. Profile details stay as long as you keep your Shoonya ID; one-time codes expire after 10 minutes.
Your rights
You can view and correct your details at any time in the student portal, change your email address there, and ask for your account to be deleted. You also have the right to access, export or object to the processing of your data, and to complain to the Belgian Data Protection Authority. To exercise any of these, use the contact page.
